We’ve made some enhancements to the look and feel of the document card in the DMS to improve navigation and simplify your work. No changes have been made to functionality or user permissions.
These changes are available now in Sandbox and will be live in Production on October 15th, 2025.
Approved Version is highlighted
You will now see the most recent approved version of a document highlighted at the top of the document card. This allows users to quickly find relevant information about the approved document, as well as download and preview that approved version from any tab.
Easy access to preview and download
You’ll notice that the Source and PDF icons now allow you to download as well as preview (depending on a user’s permissions). The download and preview options can be found by selecting the icon for the file type you’d like to access.
Messaging for different document states
We’ve added additional messaging to let you know the status of the document (like whether there is an approved version, or a draft in progress). No changes have been made to permissions - users only see messages that align with their permission level for that document.
Simplified interface
To make navigating current work simpler, we’ve moved some less-frequent actions behind the actions menu (that’s the three dots). That’s where you’ll see the ability to cancel a workflow step or change the users on that step.
We’ve also reduced the metadata that appears on the homepage of the document card. Metadata relating to the approved version status - like effective date and review date - will be visible next to the approved version. The rest of the document metadata can be found on the metadata tab.
Version tab organization
If you navigate to the Version tab, you will notice that the table columns have been reordered, and the option to both preview and download are available for the Source and PDF of a document. There is also now an option to filter the table for approved versions only.
