Assigning Permissions to Documents, Folders, Submissions, the eCTD Viewer, and Regulatory Access

Required Permissions: Manager mode access for the module

Permissions in Kivo are managed in Manager mode and can be assigned to either individual users or groups. The same pattern applies across each area: open the resource, open its permissions panel, then add users or groups with the appropriate access level.


Where You Can Assign Permissions

  • Documents and Folders — control who can view, edit, review, or approve documents inside a cabinet or folder.

  • Submissions — control who can build and edit submissions in the submission builder.

  • eCTD Viewer — control who can open and navigate submissions in the eCTD viewer.

  • Regulatory Access — control who can view and manage Regulatory Access records.


How to Assign Permissions

  1. Enter Manager mode and navigate to the resource you want to update (cabinet, folder, submission, eCTD viewer, or Regulatory Access).

  2. Open the resource's Permissions panel.

  3. Add a user or group.

  4. Choose the appropriate role or permission level.

  5. Click Save.

Folder-level permissions cascade to subfolders and documents by default. To restrict access in a specific subfolder, update permissions on that folder directly.
