Automated training enrollment creates a new course version and enrolls selected user groups whenever the source document is approved. This ensures your team always trains on the most recent, approved version of a document. Training notifications are sent the day after document approval.
Frequent document approvals may create a large volume of active training courses to manage.
Automated training enrollment
This feature automatically creates a new training course version and enrolls designated groups whenever the source document receives approval. Users in selected groups receive a notification the day after approval and are automatically enrolled with a completion deadline you specify.
Setting up automated training
Step 1 – Open course settings
In your training course, click the gear icon to access settings.
Step 2 – Enable automation
Click Automate the training course.
Step 3 – Select user groups
Select the groups whose members will be auto-enrolled in new course versions. All users in these groups receive training when a new version becomes available.
Step 4 – Set completion deadline
Enter the number of days users have to complete the training.
Step 5 – Choose new content only
Select Require training on new content only.
Note: This option is recommended for automated courses. It reduces unnecessary re-training on unchanged material.
Step 6 – Add tags (optional)
Add tags to help organize and identify automated courses.
Step 7 – Save changes
Click Save. Your course will display an Automated Training tag indicating automation is enabled.
How automated enrollment works
Once automation is enabled, a new course version is created each time the source document is approved. Users in selected groups receive a notification the following day and are enrolled in the new version with your specified completion deadline.
