Quality Projects give your team a structured way to plan and execute quality work, with task tracking, milestones, timelines, and Kanban boards all in one place.

Overview

A Quality Project is a project management container within the Quality Management module. It organises work into phases (Events), point-in-time markers (Milestones), and individual Tasks, and exposes that work through three views: a tree list, a Kanban board, and a Gantt chart.

Quality Projects vs. Quality Activities

Quality Projects and Quality Activities are separate concepts that serve different purposes.

Quality Activities are event records that document something that happened: a deviation, a CAPA, a change control, or a similar compliance record. They capture facts, evidence, and decisions in a traceable audit trail.

Quality Projects are execution plans. They define who does what, in what order, and by when. A project can optionally be linked to a Quality Activity, connecting the structured execution plan to the underlying compliance record for full traceability.

Project structure

Every Quality Project contains the following building blocks:

  • Events: named phases that group related tasks together. Use Events to represent stages of work, such as investigation, remediation, or verification.

  • Milestones: point-in-time markers that indicate a significant moment in the project timeline, such as a regulatory submission date or a management review.

  • Tasks: individual units of work nested inside Events or Milestones. Tasks have assignees, dates, durations, checklists, document links, and dependencies.

Project views

The Quality Projects section provides three top-level tabs:

  • Projects: a tree or table view listing all projects. Expand a project row to see its Events and Tasks inline.

  • Kanban: a cross-project board that shows tasks as cards across status columns. Use this view to get a quick status overview across multiple projects at once.

  • Tasks: a flat table listing every task from every project. Filter and sort here to find tasks assigned to a specific user or in a particular status.

Within a single project, the detail view offers its own Main (list), Kanban, and Gantt tabs so you can switch between planning and tracking perspectives without leaving the project.

When to use Quality Projects

Use a Quality Project when the work is complex enough to benefit from a timeline and structured task tracking. Good candidates include:

  • CAPA execution plans with multiple parallel workstreams

  • Product release readiness checklists spanning several teams

  • Audit response activities with defined deadlines

  • Validation projects with phased milestones

For single-record compliance events with no multi-person coordination, a Quality Activity on its own is usually sufficient.

Roles and permissions

Access to Quality Projects is controlled by two role levels:

  • Reader: can view projects, tasks, milestones, and all associated content, but cannot create or edit.

  • Editor: can create and edit projects, events, milestones, and tasks within their permitted scope.

  • Quality Manager: has segment-wide manager access, including the ability to save projects as templates and to complete or delete projects.
