Overview

The Home Page appears immediately upon login and can be accessed anytime by selecting the Home icon. It serves as your central hub for real-time visibility into the items that need your attention.

The Home Page is organized into four key sections:

  • Updates: Highlights recent activity, changes, or notifications related to your documents, workflows, and trainings.

  • My Work: Displays tasks and assignments that require your action.

  • Reviews & Approvals: Shows items awaiting your review, feedback, or approval.

  • Upcoming: Lists upcoming deadlines and due items to help you plan ahead.

Use the Home Page to prioritize your work and take action quickly. You can also navigate directly to any item by clicking on it.

Best practice:
To open multiple items from the Home Page in new tabs, hold Command (⌘) on a Mac or Control (Ctrl) on a PC while clicking. This allows you to access several items at once without losing your place on the Home Page.

Updates

Updates surfaces activity on items you own, follow, or are assigned to, such as document status changes and workflow progress. Use it to stay aware of movement in areas tied to your work.

New

Shows the most recent, unread updates:

  • Status changes on documents you own/follow/are assigned to (e.g., In Review → Approved).

  • Collaboration or approval steps completed by another participant.

  • Workflow steps you’re assigned to that have been completed or advanced.

All

A complete history of recent updates for additional context and auditing.

Best practice: At the start of each login, check the New section to quickly catch up on recent updates. After reviewing, select Mark all as read to clear the list—this ensures that only new notifications appear the next time you log in.


My Work

My Work consolidates everything requiring your action. It’s your daily to-do list across documents, project tasks, and training.

Docs

Document-related responsibilities: Documents you own or documents with open workflow steps assigned to you (collaboration/review/approval) along with their due dates.

If multiple users are assigned to a workflow step, Kivo displays a progress summary showing how many have not started, are in progress, and are completed.

Tasks

Project tasks assigned to you, including status, dates, and duration.

Training

Required training courses and acknowledgements.

Best practice: Kivo automatically sorts your items so those with the nearest or most overdue due dates appear at the top. Prioritize completing the top items first to stay ahead of deadlines and maintain compliance. If you notice an assignment that seems unexpected, check with your Workspace Manager for clarification.


Reviews & Approvals

Items awaiting your formal feedback or approval so documents can progress through their assigned workflows.

Reviews

Documents needing your input during collaboration or pre-approval steps.

Approvals

Documents requiring your sign-off to complete a workflow step.

Best practices: Keep an eye out for any red or green due dates. Red symbolizes over due while Green represents items due today.


Upcoming

A calendar-style view to plan ahead and stay ahead of deadlines across documents, tasks, and training.

All

A unified list of all upcoming and overdue items.

Overdue

Items past their due date that still require action.

Today

Everything due today to focus your efforts.

This Week

Items due in current calendar week.

Next Week

Work due in the following week for proactive scheduling.

Best practices: Always aim to have a 0 next to overdue. Use Today and This week to help prioritize tasks with upcoming due dates.
