Documents can approved following completion of a Review workflow. The approval process within Kivo allows users to execute an eApproval workflow which captures the approval in the audit trail and updates the version to approved with an approved version number.

Simple Approval Process

Step 1: Select Route for Approval on the document page.

Note: The document should have already passed the Review workflow.

Step 2: Select Simple Approval (if Sign & Approve is enabled), and select Route.

Step 3: Approval workflow is initiated.

  • Document is automatically locked

  • Users (with approve permissions in that location) can Approve or Reject the document

  • User who initiated Approval workflow cancel workflow at any time.

Step 4: If Reject is selected, a reason for rejection must be selected from a drop-down list and then click the Reject button.

NOTE: Reasons for Rejection are configured by a workspace manager.

Once approved, the document will become approved within Kivo. The version will change from a minor version to a major version and an Approved flag will be applied. The version can no longer be modified.
