Step 1: As a Workspace Manager user, enter Manager Mode:
Step 2: Navigate to the relevant cabinet, select the ellipsis icon, and select Edit:
Step 3: A cabinet settings pane will appear on the right-hand side. Under the Workflow Settings section, select the drop-down menu and select the required Workflow.
Once selected, the workflow settings will populate the settings page:
Step 4: Define the cabinet-specific user/group permissions by adding users and/or groups to each workflow step:
Per above, all users in the group: Kivo Administrator can now participate in the above workflow steps on documents filed in the Quality Management System cabinet, within the Quality module.
Step 5: Optionally select the "Allow workflow bypass on upload" and "Allow manual version override on upload" features:
a) Allow workflow bypass on upload - When uploading a document, a user can bypass the workflow and immediately approve a document as version 1.0. If "reason for approval" is enabled the user will be prompted to select the reason for approval (e.g. "Approved prior to upload")
b) Allow manual version override on upload - When bypassing the workflow to immediately approve a document, a user can manually define the Kivo version number of the document. For example, if you are uploading an SOP that was approved in another system, you could match the approved version (e.g., 7.0).
