Our newest release has a handful of improvements across all of the feature areas. There is a notable change in how Collaboration sessions function. See below for details.

Improved Collaboration Session Authentication

Kivo has changed how we authenticate users as part of Collaboration sessions. When you click a link to edit a collaboration for the first time you will be prompted by SharePoint to enter your email address to receive an authorization code. Once you receive that code you can enter it into the form. You'll only need to do this once. Once complete, SharePoint will always recognize your user to ensure that all edits and comments in documents are attributed to your user instead of a "guest user."

This change does not require an Office365 license. It's still possible to use Kivo with contractors that do not have licenses, but will ensure they never show up as a "Guest" in the document.

User Management

Workspace Managers can invite new users without contacting support.

Document Alias

Kivo now supports Document Aliases. A document alias allows you to author a document in one location and have it appear in other cabinets or folders. A great use of this is to author a protocol in your regulatory cabinet and display it an eTMF cabinet.

Document Aliases are read-only. To make changes to the document, you'll click through to the original document. Check out our knowledge base article on creating an Alias.

Cabinet and Folder Details

You can now view more detailed information about cabinets and folders including:

  • User Access levels

  • Tags (related to document and folder templates)

  • Audit trails

Cabinet Types

Kivo now supports cabinet types and the app can have multiple document areas for Regulatory, eTMF, Quality, and Corporate documents. By default this not enabled, however it can be if you are storing other types of documents in Kivo. If you have questions on this new feature contact support. For customers that are rolling out eTMF or Quality features, we will automatically configure this for you as part of the rollout.

UI/UX Improvements

Kivo now truncates the middle portion of a long breadcrumb on smaller screens to prevent paths from wrapping on the screen. Hovering on the breadcrumb will reveal the full path.

Improved UI in the documents pane

We've moved the Share icon up with all of the other document level controls (lock and pin) and pulled them to their own line so that there is more real estate for long file names.
