2026.Q2.1 Release (16 April 2026)

The 2026.Q2.2 release includes five new user-facing features, as well as minor bug fixes and usability improvements.


Reject option in E-Signature

Approvers in a Kivo e-signature workflow step can now reject an approval. The "Reject" button appears alongside "Sign and Approve" during the approval experience. Clicking Reject opens a confirmation modal β€” including an Approval Rejection reason field if your organization has configured one β€” and cancels the active approval step, kicking the workflow back to collaboration. The document owner, assignee, and approvers will receive notification on their homepage.

Enablement: Available to all organizations with e-signature enabled. No additional configuration is required.


SSO Controls

Kivo is introducing additional controls for organizations that wish to allow only SSO authentication. If SSO is configured as the only authentication method, Workspace Managers will not see an authentication method selector when creating or managing users β€” all users will authenticate via SSO.

Enablement: Configured at the organization level by Kivo. Please contact Kivo support to update your organization's authentication settings.


Configuration Audit Trail

Kivo now provides an easier way to see configuration changes made by Workspace Managers. This release includes two updates, with an additional Workspace Settings audit coming in a later release:

  • Folder/Cabinet Audit Trail β€” Workflow Configuration Changes: Changes made to workflow settings within a folder are now displayed on the folder audit trail.

  • User Management Audit Trail: A new Audits tab in User Management provides an audit trail of changes made to users and groups.

You will see historical entries, as all configuration actions were already being recorded and surfaced on the User Actions report - this change makes those records easier to find.

The go-forward Folder Audit will now display Workflow Name and/or Workflow Step Name on relevant records, as applicable

Enablement: Available to all organizations. No additional configuration is required.


Effective Version on Doc Card

The approved document version highlighted on the top of the document card in the DMS will now default to the most recent effective version, if one exists. If there is a more recent approved version that is not yet effective, it can be found on the Versions tab.

Enablement: Enabled for all organizations.


Templates in the DMS

Kivo will now allow organizations to manage document templates directly from the DMS. A workspace manager can indicate that documents in a folder should be used for templates. Tags applied to the documents will determine the mapping of templates to folders in the DMS. The system will automatically update using the latest effective template version (or latest approved, if version labels are not being used). Existing templates, managed by Kivo Support, will continue to work alongside any new templates managed in the DMS.

Enablement: Available to all organizations. Workspace managers must configure their template folder in order to use.
