Adding, Deleting, and Modifying Folders

Learn how to add a new folder, edit a folder's details, and delete a folder in Kivo. All folder management is performed from Manager mode by Workspace Managers and Product Module Managers.

This article covers how to add a new folder, edit a folder's details, and delete a folder when it's no longer needed. All three actions happen in Manager mode and are limited to Workspace Managers and Product Module Managers.


Overview

Folders organize documents inside a cabinet and inherit settings from their parent, including workflow, metadata configuration, and permissions. Day-to-day folder management is performed by Workspace Managers and Product Module Managers from Manager mode in the relevant module. Standard users with edit or view access to a folder cannot create or remove folders themselves, so ask a Workspace Manager to make the change.


Adding a New Folder

Step 1 – Switch to Manager Mode

In the top-right of the workspace, open the dropdown and select Manage Workspace. The interface switches to Manager mode for the current module.

Step 2 – Create the Folder

Navigate to the cabinet or parent folder where the new folder should live. Click the blue + icon to add a new folder.

Step 3 – Name and Create

Give the folder a name and click Create. The new folder appears in the parent location and inherits the parent's workflow and inheritable settings.

Note: A few settings, such as Use Folder Documents as Templates, do not cascade from parent to child. If the new folder needs one of those settings enabled, configure it explicitly after creation.


Modifying a Folder

Step 1 – Open the Folder in Manager Mode

From Manager mode, navigate to the folder you want to update.

Step 2 – Edit Details

Click Edit on the folder card. Here you will be able to edit the following:

  • Tags

  • Metadata

  • Folder Settings

  • Workflow Settings

  • Permissions


Deleting a Folder

Step 1 – Open the Folder in Manager Mode

From Manager mode, navigate to the folder you want to remove.

Step 2 – Open the Folder Menu

Click Edit on the folder card, then open the menu in the top right and select Delete.

Step 3 – Provide a Reason and Confirm

Kivo prompts you to enter a reason for the deletion (for example, created in error or workspace cleanup). The reason is captured in the folder's audit trail. Confirm to delete.

Note: If the folder contains approved or in-flight documents, resolve those first by moving them to a different folder, retiring them, or completing their workflows before deleting the folder.
