Required Permissions: User Management and Sites/Trial Activities access
Granting users access to sites and trial activities involves two key steps: ensuring users belong to the correct group, and then assigning permissions through the workspace management interface. The same process applies to regulatory activities, quality activities, and vendors.
Overview
Users must meet two requirements to access sites or trial activities. First, they must be assigned to a group that has these features enabled. Second, you must grant that group explicit access through the access management interface. If a user cannot see sites or trial activities, or if you cannot add them, one of these requirements is missing.
Verify Group Settings
Step 1 – Check which groups have access
Go to Settings and select User Management.
Open the group you want to manage. Look for the toggle for Sites and Trial Activities. This must be enabled for any user in that group to access these features. If it is not enabled, turn it on.
Step 2 – Add users to the group
Ensure the users who need access are added to a group that has Sites and Trial Activities enabled. Users can belong to multiple groups, but they must have at least one group with this setting enabled.
Grant Access to Sites or Trial Activities
Step 3 – Navigate to the access management interface
Go to Clinical, then select either Sites or Trial Activity depending on what you need to manage.
Click Manage Workspace from the dropdown menu by your name to enter Manager Mode. A new button will appear labeled Investigator Access (for sites) or Trial Activity Access (for trial activities).
Step 4 – Add users or groups
Click Investigator Access. You can now add users or groups. Select the group or individual user you want to grant access to.
Only users and groups with the appropriate group setting enabled will appear in this list. If you cannot find who you need to add, go back to user management and enable the setting for their group.
Step 5 – Choose which subtypes to grant access to
After selecting a group or user, choose which subtypes they can access. You can select individual subtypes, such as Site Master List or Site Qualifications, or select All to grant access to every subtype.
Set Permission Levels
Step 6 – Assign edit or read permissions
Choose the permission level for the user or group:
Edit permissions: Users can view, fill out, and start activities.
Read permissions: Users can only view activities. They cannot fill out or start anything, and they will not see action buttons like Start Investigator.
Click Add to Group or Add User to save the permissions. You can add multiple groups or users with different permission levels by repeating this process.
Troubleshooting Permissions
If a user cannot see sites or trial activities, check these two things:
The user is assigned to a group that has Sites and Trial Activities enabled in user management.
That group has been granted access through the Investigator Access interface.
If you cannot find a user or group to add in the Investigator Access interface, go back to user management and verify their group has the required setting enabled.
