Users can create placeholders to define where content is expected in specific cabinets, studies, or programs. This feature is most commonly used in the eTMF module for study TMFs but is also available for Regulatory and Quality cabinets.

This article applies to users with the following roles/permissions:

  • To use placeholders, a Workspace Manager user must enable the feature in each cabinet.

  • Users who have "Edit" and "Create File" permissions within specific cabinets can create placeholders.

Workspace Managers:
To enable the Placeholder feature in a specific cabinet:

Step 1: As a Workspace Manager, enter Manager Mode.

Step 2: Select a specific module and cabinet, then select the associated ellipsis icon and select Edit.

Step 3: Enable the "Use Document Placeholders" toggle under the Cabinet Settings menu, and then exit Manager Mode.

Users with Edit and Create File Permissions

To create Placeholders:

Step 1: Navigate to the relevant module, cabinet and location in which a placeholder needs to be created, select the Blue "+" icon and select the New Placeholder icon.

Step 2: Input a name into the Placeholder Name field and select Create Placeholder.

  • Multi-document Placeholder toggle, if the placeholder should be configured to accept multiple documents. Refer to the article on Multi-Document Placeholders for more information:

Step 3. A placeholder is created (per below), and a document can be uploaded to it at any time.

Values can be configured for the placeholder:

  • Assigned To: Ownership/responsibility of the placeholder can be assigned to a specific Kivo user

  • Content expected: Date value for when the associated content is expected in Kivo. Kivo will use this date value to generate metrics (upcoming vs overdue.

  • Required: No vs Yes
