Uploading Documents to Placeholders

Learn how to upload documents directly to placeholders in Kivo, including drag-and-drop upload, creating from templates, aliasing existing documents, and excluding placeholders when content is not applicable.

Introduction

This article explains how to upload documents directly into placeholders in Kivo. Uploading to placeholders helps ensure expected content is added to the correct location, supports completeness tracking, and maintains inspection-ready documentation.


Section 1: Overview

Placeholders define where content is expected within a cabinet, study, or program. Once a placeholder exists, documents can be uploaded directly into it using multiple methods.

You would upload to a placeholder when:

  • A required document becomes available

  • Content is ready to fulfill an expected item

  • A document needs to be associated with a predefined requirement

Uploading directly to placeholders ensures documents are correctly tracked and reported.


Section 2: Uploading a Document to a Placeholder

Step 1 – Locate the Placeholder

Navigate to the appropriate module, cabinet, and folder, then locate the placeholder you want to fulfill.

Select the placeholder to begin uploading content.


Step 2 – Upload Content

Documents can be added to the placeholder using one of the following options:

Drop file here to create a new version
Drag and drop a file directly into the placeholder to upload it.

Browse
Click Browse to select a file from your device and upload it to the placeholder.

Additional Upload Options

  • From Template - Use the From Template icon to create a new document from an available Kivo template and upload it directly into the placeholder.

  • Document Alias - Use the Document Alias icon to link an existing document from another location to the placeholder.For more information, refer to the Creating an Alias Document article.

  • Exclude Placeholder - Use the Exclude Placeholder icon to fulfill the placeholder when content is not applicable or not expected. This is commonly used when documents are held by a third party or are not required for that section.


Step 3 – Complete Upload

Once uploaded, the document is added to the placeholder and the workflow for the cabinet/folder is applied. From here the document can be drafted and approved normally.


Notes and Important Behavior

  • Uploading a document fulfills the placeholder requirement

  • Multi-document placeholders may accept multiple uploads

  • Excluded placeholders remain visible for transparency and audits

  • Placeholder metrics update automatically after upload or exclusion
