This release includes a series of improvements to backend infrastructure and bug fixes as well as a series of new features.


eTMF Import and Migration Tool

Kivo now supports migrating TMFs from Veeva into Kivo. This includes a new backend SFTP site that can be configured for loading data into Kivo's migration tool.

Improved User Management and Deactivation Controls

Workspace Managers can now deactivate users in Kivo. This will remove the user license, block access to Kivo, but preserve user actions previously captured in the audit trail.

Workspace Managers can also now view a list of all active workflow sessions in your tenant that would lock a document. This includes:

  • Edits

  • Collaborations

  • Reviews

  • Approvals

Workspace Managers can cancel these sessions, remove collaborators from the session, or change the owner.

This feature is to provide Workspace Managers the ability to remove users from these activities prior to deactivating the user so that documents are not locked or waiting on action from users that no longer have access to the system.


Document Deletion and Recovery Features

New document deletion and recovery options can be enabled for your organization. These changes are disabled by default and apply across all areas of your organization when enabled.

When enabled, Workspace Managers can see deleted documents in Manager Mode in the document browser. Deleted documents appear with a trashcan icon and a strike-through on their name.

Workspace Managers can also be granted permission to delete approved documents in Manager Mode. Managers are presented with the same Reason for Deletion options as configured in your organization.

All delete and restore actions are captured in the audit trail.

Alias Binding Updates

Alias binding options can now be updated by clicking on the menu in the Alias Details Pane. Document Aliases allow Editors to have a single document appear in multiple locations in the DMS, but preserve the same versions, metadata, and audits. Aliases can be "bound" to a single version, all versions, or just approved versions to control what is displayed for the alias vs. the orginal document. This feature allows users to update that binding over time to change what versions are available in the alias location.


A full list of changes will be loaded into your Validation folder in Kivo. Look for the validation documentation for release 2023.Q3.1.
