This release includes a series of improvements to usability, backend infrastructure, and bug fixes. In addition, the following new features are available in the system.
DMS Improvements
New Placeholder Filter
Placeholders can be filtered from view in the DMS using the Filters option on the top right of the document browser.
Editing Version Filenames
File names can be changed directly in the DMS for unlocked and unapproved documents.
New Related Activities Report
Documents that are generated from a Regulatory or Quality Activity (CAPA, Correspondence, etc.) show which records they are related to in the DMS.
Unsigned PDFs for versions signed and approved in DocuSign
If a document is signed using Kivo's DocuSign integration, you can now view the unsigned version of the approved document in the version list in Kivo.
Submission Builder Improvements
A user can select the unsigned PDF in submission builder if the document was signed and approved using DocuSign in the DMS. This enables you to determine what is included in the submission export, the signed or unsigned version of the approved document, or both.
New menu item for files in a submission
A user can view the document in the DMS directly from submission builder file menu for a faster way to check version details, update metadata, etc.
Document Control Number Improvements
The recent addition of document control numbers gains additional features in this release.
A user can search for a document by document sequence number
A workspace manager can define custom fields to be part of a document control number. The user will be prompted to populate the custom fields when creating a document that meets this criteria. An example would be to include Department code in a control number for an SOP.
A workspace manager can define if numbering restarts for each document sequence prefix. This allows a single naming convention to be used, but have control numbers restart based on unique numbering. For example a control number with the format SOP-#{{Dept Code}}-#### and the option to restart numbering would yield the following result:
SOP-QA-1000
SOP-QA-1001
SOP-CLIN-1000
SOP-QA-1002
A workspace manager can define a document control number without an auto number. This is helpful if you are loading existing controlled documents with numbers assigned or you want to manually assign numbers to align with ISO section numbering. If a manual number is defined, users will be prompted to enter a number when creating the document.
