The 2025.Q3.1 release includes updates to Kivo's training functionality, as well as usability improvements and minor bug fixes.
Auto-Enrolling Groups in Training Courses
Training managers now have the option to add Required Groups to a training course. This automates the enrollment of that Group of users in any new version of that training course, saving you time in managing training enrollment.
When adding a Required Group, you can also include a default course due date based on the day the training course is assigned (Days to Complete). This can be edited later when creating the course version to allow for ongoing flexibility.
You can add Required Groups when creating a course, or later by editing that course in the Course Manager experience.
Note that existing enrollment management functionality will remain - both Users and Groups can be assigned training course versions manually using existing functionality.
Required Groups will be enrolled in a course version when a training manager selects "Publish Course" in the course builder tool. This also allows for enrollment of additional users.
Viewing the Training Plan
The new Training Plan tab shows the matrix of Required Groups assigned to each Training Course. This tab is intended for planning purposes - training progress and completion will continue to be tracked in reports.
Enrolling New Users and Groups
When a new user is added to a Group that has automated enrollment in a course, that user is flagged on the Pending Enrollments tab. This surfaces all required trainings for that user based on their Group(s), with the option to enroll right from that tab. If a new Required Group is added to an existing course, those users will also appear on the Pending Enrollments tab.
Creating and Viewing Courses from Documents
To simplify work for training managers, courses can now be created directly from an approved document in the DMS. This can be found under the actions menu on the Version tab for that document. Required Groups and other training course attributes are available when creating a course from a document.
Courses created from documents will also show up in the Trainings tab under Related for that document, to allow for easy tracking of course and document versions.
