This release includes a series of improvements to usability, backend infrastructure, and bug fixes. In addition, the following new features are available in the system.

Controlled Document Conventions

A series of related features now support controlling document naming and numbering conventions. These features are primarily used for Quality documents to assign document control numbers to documents (like SOPs, Forms, Policies, etc.), enforce standard naming conventions, and to require specific meta data during document creation.

Require Document Type per Location

Workspace Managers can now require Document Type to be specified for new documents at a cabinet or folder level. If enabled, users are prompted to define Doc Type, Category (if defined), and Artifact (if defined) when creating a new document or placeholder.

If metadata fields are defined, and required, for the doc type / category / artifact the user will also be required to enter those fields upon creation (see below screenshot).

Automatic Document Naming Conventions

Workspace Managers can now configure Kivo to specify document naming conventions for Doc Types, Categories, and Artifacts. When used in conjunction with the Require Document Type feature, users will be prompted to enter this information when creating a new document or placeholder and the user interface for document creation changes to support the flow.

Document names can include user defined values entered during the creation process as well automatic system generated sequential numbers.

Document Control Numbers

In conjunction with Automatic Document Naming, Kivo now supports automatic numbering. Workspace Managers can define the number of digits, format, starting number, etc.

For example, the following settings could be used for a Procedure artifact:

These settings would result in a standardized name for each SOP as well as a separate document control number that appears in the UI above the document name.

Link a Document to an Activity

Users can now link a document to an Activity (e.g. Correspondence, Commitment, CAPA, etc.). This feature is helpful to relate existing documents to Regulatory and Quality activities.

A full list of changes will be loaded into your Validation folder in Kivo. Look for the validation documentation for release 2024.Q1.4.
