Kivo has rolled out several small usability updates as well as a larger update to how document templates function. Here’s a run down of the changes.

DMS

Collaborations are now restricted to file types that can be properly handled by Office365 to avoid any compatibility issues in the Microsoft system. Namely only modern office file types can be used in collaboration: docx, pptx, xlsx.

The Updated at date in the Current Version panel now displays the correct date in all instances.

It is now possible to update descriptions for prior versions of a document. Editing existing descriptions and adding descriptions that were left blank are both supported by clicking on the edit (pencil) icon inline on the All Versions table.

Submission Builder

We’ve improved sort order on sections so that the system better handles sections with letters (e.g. 3.2.P.1) and properly sorts sections (e.g. 1.1, 1.2, 1.3, …, 1.11, …, 1.20 would appear in the correct order).

Document Templates

Kivo now uses a tag mapping system to determine what folders document templates appear in when creating a new document. This release automatically updates this system for customers using Kivo document templates and you will see no change in the application. This is purely a backend change to enable future functionality.

Kivo now supports “blank” templates in the DMS. This allows you to define document templates with corporate headers and footers, correct styles, and other starting elements that users can select from when creating a new document in addition to Kivo or customer supplied document templates. Contact Kivo Support to configure this in your system.

Cabinet and Folder Templates

Kivo now supports multiple cabinet templates making it possible to maintain different cabinet structures for Regulatory, Quality, eTMF, and corporate documents.

Kivo also now supports folder templates that can be enabled through tag mapping for specific folders. This allows DMS Editors to create folder structures for studies, submissions, etc. in specific locations without filing a support ticket or logging in as a Workspace Manager.

Functionality related to the new cabinet and folder templates will be rolled out to customers in the coming weeks. These changes are the first phase to enable future functionality.

A full list of changes are loaded into your Validation folder in Kivo. Look for the Change Control documentation for release Q3.2022.1.
