Article describes simple and advanced searches for documents, folders and cabinets. Additionally there are several filtering options to help users finding content.
Simple Search
Step 1. As a user log in, on the top left section of the screen there is a Search bar.
Typing a search term at this stage will return results in any cabinet, folder, or document.
a) Enter what you wish to search for in the search box.
All relevant Documents, Folder and Cabinets will be displayed with locations. Search will return results if the search term is found in document name, file name, metadata, control number, folder name, or cabinet name.
b) Click on the document, folder or cabinet that you wish to access.
Advanced Search
Step 1. By placing cursor in search box, the blue text for "Advanced Search" is available. Clicking the text enables several drop-down menus. Search Term, Area, Cabinet and Folder.
Step 2. Entering a search term (brochure) results in files, folders and placeholders within all Areas and Cabinets available to the user. Adding items from the drop down menus, users narrow the search results.
In the example below: Search term "brochure" in Area of "Clinical" in Cabinet "KV-003-Unblinded" and folder "01. Trial Level" returns one placeholder file, "Investigator's Brochure."
Using Filters
Filters are another function to assist users in finding content.
Filters are found at the top right side when the user is using the Document Browser in Regulatory, Clinical, Quality, or Corporate.
Step 1. Clicking the filter drop-down arrow displays several options.
Hide Empty: Filters empty folders from the document browser.
Hide Placeholders: Filters out Placeholders from the search and navigation view. (Create Placehoders: https://support.kivo.io/hc/en-us/articles/15027820410260-Create-Placeholders)
Hide Draft Document: Filters out any document that does not have an approved version.
Step 2.For purposes of example, image below shows the "Germany" folder without filters.
Step 3. For purposes of example, image below shows "Germany" folder with filter selected to "Hide empty folders." The number of folders within Germany are less as well as the number of folders within the "Central Trial Documentation."
