The 2026.Q2.2 release includes two new user-facing feature enhancements. A list of feature enhancements in this release can be found at the bottom of this message.
A note on our release announcements
We are updating how we communicate new product features and enhancements. The release announcement email will focus on the feature enhancements that impact what end users can see and do in Kivo on release day.
Larger features are designed to not impact your production org when they are released – they ship behind feature flags (meaning they can only be turned on by Kivo Support) or require enablement by a workspace manager. This is designed to give your team time to update training materials, review the changes in sandbox, and roll the features out in a way that follows your business practices and policies.
Going forward, these non-enabled features will be communicated separately in a regular product digest with deeper context, implementation steps, and enablement guidance, providing everything needed to prepare your team to implement the new feature.
Kivo’s goal is to clearly communicate what is actually changing in the app at each release, while still giving you full visibility into all updates. The change control documentation provided with each release will also reflect this update, distinguishing between enhancements that go live at release and features that are disabled in production and available for enablement.
Feature enhancements in 2026.Q2.2:
Enabling Editing of File Names
Kivo has historically allowed for editing of document name on an approved document, but previously restricted the updating of file names after approval. This occasionally created confusion in document export. To keep these capabilities consistent, the app will now allow for file names to be updated by users with edit access to the document. Updates will require user confirmation and be captured on the audit trail.
Limited Deletion of Activity Records
To prevent confusion in the management of activity records, deleting an activity will now be limited to managers (accessed in manager mode). Both Workspace Managers and Module Managers (in their module – see below) will be able to delete activities. These actions will continue to be captured in the activity audit trail, and managers will continue to have the ability to restore deleted activities in manager mode.
Requires Enablement: Product Module Manager
This is not a user-facing feature, but we want to share one new capability that becomes available to workspace managers with this release: Product Module Manager.
Workspace Managers will now see a role option when creating new users called “Product Module Manager.” PMMs have the exact same capabilities as Workspace Managers in Manager Mode, but their access is scoped to a specific module of the application (Quality, Clinical, Regulatory, or Corporate). They cannot access broader workspace settings or user management.
Because the Product Module Manager role can only be assigned by a Workspace Manager, it has no impact on release for end users — nothing changes in the app for them until a Workspace Manager chooses to assign the role.
Enablement: Enabled by Workspace Managers at their discretion. No action is required from end users. Once the release is live, Workspace Managers can assign the Product Module Manager role through User Management if desired.
